Renting a home is rarely simple. Tenants chase landlords for answers, landlords struggle with paperwork and late payments, and both sides lose time to scattered emails and phone calls. RentEase set out to change that by creating one transparent, secure platform for the entire rental journey. Aveqro partnered with the RentEase team to design and build a web platform that connects tenants and landlords from the first application to the final move-out inspection.
The challenge
The existing process depended on spreadsheets, paper forms, and manual bank transfers. Applications were lost, background checks took days, and rent reminders were sent by hand. Landlords had no clear view of their income, while tenants had no easy way to report repairs or track requests. The client needed a modern system that could automate routine work, build trust between both parties, and scale across many properties and cities.
Project goals
We agreed on a focused list of outcomes for the platform:
- Let tenants search listings, apply online, and sign agreements digitally
- Give landlords one dashboard for properties, applicants, rent, and maintenance
- Automate rent collection with reminders and receipts
- Protect personal documents with strong security and clear permissions
- Provide a mobile-friendly experience for users on any device
Our approach
We began by interviewing landlords and tenants to understand frustrations on both sides. Their feedback shaped a user journey map that highlighted three critical moments: submitting an application, paying rent, and requesting a repair. Our designers created simple, friendly screens for each, using plain language instead of legal jargon. We then built the platform in short sprints, demonstrating working features to the client every two weeks so priorities could be adjusted early.
Key features
RentEase brings every step of renting into one place:
- Property listings with photos, filters, and saved searches
- Online applications with secure document upload and status tracking
- Digital lease signing with automatic reminders for renewal dates
- Recurring rent payments through Stripe with instant receipts
- A maintenance request system with photos, updates, and contractor assignment
- Dashboards that show income, occupancy, and overdue payments at a glance
Technology and architecture
The backend is built on Laravel with a MySQL database, offering a clean, secure foundation for business logic, queues, and scheduled jobs. The interface uses Vue.js for fast, responsive pages. Documents such as identification and lease agreements are stored in encrypted AWS S3 buckets, with short-lived links so files are never publicly exposed. Stripe handles card and bank payments, which keeps sensitive financial data off the client servers and simplifies compliance. Role-based access ensures tenants, landlords, and administrators see only what they should.
Overcoming technical challenges
Payments and privacy demanded extra care. We implemented webhooks and reconciliation jobs so every payment is recorded accurately, even when a notification arrives late or twice. Audit logs track who viewed or changed sensitive records. We also optimised search with database indexing, so listings load quickly even with thousands of properties. Careful testing of edge cases, such as partial payments and mid-month move-ins, prevented costly mistakes after launch.
Results and impact
RentEase now helps landlords fill vacancies faster and collect rent on time with far less manual effort. Application processing that once took days now often completes within hours, and automated reminders have noticeably reduced late payments. Tenants appreciate the transparency of tracking requests and payments in one place, which has improved satisfaction and renewals.
When both sides can see what is happening, trust grows and friction disappears.
Looking ahead
The roadmap includes tenant screening integrations, utility management, and a mobile app. If you are building a marketplace or management platform, the web development team at Aveqro Technologies can help you design a solution that people enjoy using.
